Support for “Confidential Messages” in the Offline Project

Occasionally, certain content, such as news articles, may only be visible to specific editors until it is published, even in the offline project, while after publication it should be visible to everyone. Such content can be easily created in the editor.

Content for which a validity period is specified can be marked as confidential. Setting a Valid from and Valid to date is mandatory for this.

Note: This function is only available to editors who are members of a group specified by the administration for managing confidential messages. This group is referred to below as the “trusted group.”

Messages marked as confidential that are outside the validity period can only be viewed or edited by members of the trusted group. This applies in the page editor and in the explorer view, as well as in the online project after the content has been published.

Marking as confidential is done by editing the content in the form-based editor in the “Availability” tab. Confidentiality can be activated or deactivated in the “Validity period” section by checking the “Confidential” box.

Editors who are not members of the trusted group will not see the “Confidential” setting in the form-based editor.

To configure the “trusted group” for a website, proceed as follows:

  • Use the administration view to create a group that is to be used for trusted entities, or select an existing group. 
  • Edit the sitemap configuration of the website in the burger menu of the sitemap editor by clicking on “Advanced,” “Sitemap Configuration.”
  • Switch to the “Attributes” tab and add a new attribute by clicking on the “+” symbol.
  • Enter “mercury.confidential.group” as the key.
  • Enter the name of the trusted group you created as the value.

Note: To set a group that is assigned to a sub-organizational unit, enter the full name of the group including the organizational unit as the value, e.g., “MyOU/Users.”

Images or PDF documents linked in the message are not affected by confidentiality. If you want such files to behave in the same way as confidential content, proceed as follows:

  • In the Explorer view, navigate to the file you want to set as confidential.
  • Select “Permissions” from the context menu.
  • Use the “+” symbol to add the OpenCms group that is allowed to create and edit confidential messages and activate the checkbox next to “Responsible.”  All other options must not be checked.
  • Open the “Availability” entry in the context menu under “Advanced” and enter the same validity periods there as in the content linked to the file.
